How do you split group trip costs fairly?

Agree the rules before you go: what is shared, what is personal and how rooms of different sizes are priced. Then log every shared payment as it happens and settle up at the end with as few transfers as possible.

Practical steps

  1. Set a budget everyone can afford. Fairness starts before booking. If one person can only spend half what the others can, choose a trip that works for them.
  2. Agree what is shared. Accommodation, car hire and group meals are usually shared. Flights, drinks and shopping are usually personal.
  3. Price rooms fairly. A couple in a double room and a friend on a sofa bed should not pay the same. Split by bed or by room, and agree it before booking.
  4. Have one person pay, then log it. One card for the accommodation deposit keeps things simple. Write down who paid what straight away, not after the trip.
  5. Watch currencies. If people pay in pounds and euros, agree one exchange rate for the whole trip so the sums add up.
  6. Settle up with fewer transfers. Work out each person's balance and pay off the net amounts, rather than everyone paying everyone.
  7. Settle within a week. Debts left for months cause more friction than the trip itself.

Where annamo helps

Fairness in annamo starts at the planning stage. Each person's budget is private to the organiser, so the group lands on a figure everyone can manage without anyone having to say it out loud. On the Trip board, accommodation bookings show who is staying where, and Split the costs logs shared payments, uses one rate rule for each currency and shows who owes whom. It does not move money, so people still pay each other by bank transfer or their usual app.

FAQ

Should couples pay the same as single travellers?

Usually a couple sharing a bed pays per room, so each pays half a room. Agree it before booking.

What about someone who leaves early?

Charge them for the nights they stayed plus their share of anything already booked that could not be changed.

Who should pay the deposit?

Whoever is booking, as long as the group pays them back within a few days.

How do we handle a friend who spends less?

Keep their shared costs to the things they used. Someone who skips the expensive dinner should not pay for it, so split meals by who was there.
